Meeting standards and requirements set by the Nursing and Midwifery Council (NMC), British Association of Cosmetic Nurses (BACN), British Medical Aesthetics Society (BMAS), professional indemnity insurance, and other relevant healthcare regulatory bodies.

  • To coordinate with prescribers for prescription treatments. Sharing relevant medical information with our GMC-registered independent prescriber for the safe provision of prescription-only treatments such as Anti-Wrinkle injections (Botulinum Toxin) and Dermal Fillers, as required by UK law and prescribing regulations.

  • To send appointment reminders. Sending automated email or SMS reminders 24 hours before scheduled appointments to help clients remember their bookings and reduce missed appointments.

  • To understand client demographics and service preferences. Analyzing aggregate data about which treatments clients book most frequently, age ranges interested in specific services, geographic distribution of clients, and popular appointment times.

  • To improve booking system and client experience. Analyzing how clients interact with our online booking system, identifying where clients drop off in the booking process, understanding technical issues or confusion points, and testing improvements to the booking flow.

11. Controls For Do-Not-Track Features

At this stage, no uniform technology standard for recognising and implementing DNT signals has been finalised. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this Privacy Policy.

12. Medical Records Retention and Clinical Documentation

We retain medical records and treatment-related information for 7 years from the date of your last treatment in accordance with NHS guidelines and professional indemnity insurance requirements. Medical records include consultation notes, treatment records, consent forms, health assessments, contraindication screenings, before and after photographs (where applicable), and any adverse reaction reports.

 

This retention period is necessary to:

- Provide continuity of care across multiple appointments

- Maintain accurate clinical documentation

- Comply with professional regulatory standards (NMC, BACN, BMAS)

- Meet insurance policy requirements

- Protect both practitioner and client interests

- Respond to any complaints or legal claims

 

After 7 years, medical records are securely deleted or destroyed unless we are legally required to retain them longer (e.g., for ongoing legal proceedings). You may request access to your medical records at any time during the retention period, but we cannot delete them before 7 years due to legal and professional obligations.

13. Clinical Photography For Medical Purposes

For certain treatments, particularly injectable treatments (Anti-Wrinkle injections, Dermal Fillers, Lip Augmentation), clinical photography is mandatory. Before and after photographs are taken as part of your medical record to document treatment planning, execution, and outcomes.

These photographs:

- Are taken in a clinical setting with your informed consent

- Show only the treatment area (typically face or body area being treated)

- Are stored securely as part of your confidential medical record

- Are retained for 7 years in accordance with medical record retention requirements

- Are NEVER used for marketing, social media, or promotional purposes without separate explicit written consent

- Are only accessible to authorized clinical staff You will be asked to sign a separate consent form specifically for clinical photography.

 

This consent is for medical documentation purposes only. If we wish to use any photographs for marketing, testimonials, or educational purposes, we will seek separate explicit written permission, and you are free to decline without affecting your treatment. Clinical photographs are password-protected, encrypted where possible, and stored in compliance with UK GDPR requirements for sensitive personal data.

14. Prescriber Coordination and Information Sharing

For prescription-only treatments (Anti-Wrinkle injections containing Botulinum Toxin and Dermal Fillers), UK law requires a face-to-face consultation with a qualified independent prescriber registered with the General Medical Council (GMC) before treatment can be provided.

 

We share relevant medical information with our GMC-registered prescriber including:

- Your medical history and current health status

- Current medications and supplements

- Known allergies and previous adverse reactions

- Contraindications relevant to the treatment

- Your treatment goals and areas of concern

- Any other information necessary for safe prescribing

 

This information sharing is:

- Legally required under UK prescribing regulations

- Necessary for your safety and appropriate care

- Conducted securely and confidentially

- Limited to information relevant to prescribing decisions

- Protected by professional confidentiality obligations

 

The prescriber is bound by their own professional codes of conduct, GMC regulations, and UK GDPR. They will maintain the confidentiality of your information and use it solely for the purpose of assessing your suitability for prescription treatments. By booking prescription treatments, you consent to this necessary sharing of medical information with the prescriber.

15. Professional Regulatory Bodies and Insurers

We may share your personal and medical information with professional regulatory bodies and insurers in the following limited circumstances:

PROFESSIONAL INDEMNITY INSURANCE:

- Our professional indemnity insurer

- For insurance coverage verification or policy compliance

This disclosure only occurs when:

- Necessary for a legitimate complaint or claim

We offer free video consultations via Zoom (or similar video conferencing platforms) for clients who wish to discuss treatments remotely before booking an in-person appointment.

 

When you book a video consultation, the following information is shared with and processed by the video platform provider:

- Your name and email address (to send the meeting link)

- Your video and audio during the consultation

- The date and time of your consultation

- Your IP address and device information (collected automatically by the platform)

 

VIDEO CONSULTATION LIMITATIONS:

Video consultations are for information and initial assessment purposes only. They are NOT a substitute for in-person consultations and do NOT replace mandatory face-to-face assessments, particularly for prescription treatments which legally require in-person prescriber consultations under UK law.

 

RECORDING AND CONFIDENTIALITY:

- Video consultations are NOT recorded unless you provide explicit written consent

- If recorded (for clinical documentation purposes only), recordings are treated as confidential medical records
